When a caller needs a person, it puts them through to your team.
Not every call should end with the AI. Some customers need you. The AI Receptionist handles the routine questions and, during your hours, transfers the rest to the right person on your team.

- During your hours
- Named numbers by team
- Round robin across your team
- Thanks for calling Ridgeway Print Co, this is the virtual assistant. How can I help you?
- I placed a large order last week and need to speak to someone about it.
- Of course. I'll connect you with the team now, one moment.
- Transferred to the front desk
How does AI receptionist call transfer work?
During the business hours you set, if a caller asks to speak to a person, the receptionist tells them it is connecting them and transfers the call to your main number, or to the named number whose note fits the caller, such as Sales or Service. Several people can share one team's calls in turn, round robin. By default, outside your hours it offers to book a time or takes a message instead, unless you pick a person to take after-hours transfers. Every transfer is noted in the call summary you receive. With call screening on, it checks with you privately first, like a human receptionist, so you decide who gets through.
Three things have to be true
- 1
The caller asks for a person
Someone says they want to speak to a human, or to the team. It tells them it is connecting them and hands the call over.
- 2
It is inside your business hours
By default, transfers happen only during the hours you set, read in your own time zone, so a 10 p.m. call is not put through to a phone nobody is holding. You can also pick a person to take transfers after hours.
- 3
You chose who answers
Set a main number, such as your front desk or your cell, and add up to 5 named numbers (15 on Growth) like Sales or Service, each with a note on which callers belong there. It never dials a number that is not on your list.
You choose where calls go, and when.
Your transfer numbers sit in the same settings as your answer mode and hours. Point the main one at the front desk if you have one, or at your own cell if you work alone, and name the others by what they handle.
Saving a change takes effect on the next call, and a free test call lets you try the hand-off from your own phone first.
- When nobody picks up, and after hours
- After hours only
- Only when nobody picks up
- Answer every call
Share a team's calls, one person at a time
- 1
Switch on round robin
It is off until you turn it on, since not every team wants it. Then put the same team name, such as Sales, on each person who should share the calls.
- 2
Calls take turns
Each new call starts with the next person on the team, so over a day everyone gets about the same number of calls.
- 3
Set it once, change it any time
Add or remove someone and the rotation follows from the next call. A caller who asks for someone by name still reaches that person, and switching round robin off puts every call back to one person each.
Check with your team before a caller is put through
- 1
It checks before it connects
With call screening on, a caller who asks for someone is asked to hold a moment. The receptionist then privately rings that person's phone and tells them who is calling and why.
- 2
The person being asked for decides
They hear something like "Gene from ABC Company is calling about a new fax machine. Do you want to take it?" They can have the call put through, ask for a message, or say they are not interested, in which case the caller is told politely.
- 3
The caller never hears the check
While it checks, the caller hears normal ringing. If the person has a question first, the receptionist asks the caller and comes back to them. If nobody picks up or voicemail answers, the receptionist comes back to the caller and takes a message.
Call screening is off until you turn on “Screen calls before transferring” during setup or in your Transfers settings. It works on real phone calls, not the voice demo on this site, and needs a direct line or a cell phone rather than a main number plus extension.

What happens when it does not transfer
Outside your hours
By default, it tells the caller the team is away, then offers to book them a time on your calendar or takes a message for the morning. You can also pick a person to take transfers after hours.
When a question has a written answer
Hours, services, area and the prices you chose to share are answered from your notes, so the team only takes the calls that need them.
When it is an emergency
Anyone describing an emergency is told to hang up and call 911. That instruction comes before any transfer.
Transfers, answered.
Can an AI receptionist transfer a call to a real person?
Yes. During your business hours, when a caller asks for a person, it tells them it is connecting them and transfers the call to the number you chose in your settings.
Which number does it transfer to?
Your main number, such as your front desk or a cell phone, or one of the named numbers you add (up to 5 on Starter and Pro and up to 15 on Growth), each with a note on when to use it. You can change them in the dashboard at any time, and the change applies from the next call.
Can transferred calls take turns across my sales team?
Yes, if you want it. Switch on round robin in your settings, give two or more people the same team name, and calls for that team are shared out in order, so each person gets about the same number. A number with an extension rings on its own rather than joining a team.
Can a transfer number have an extension?
Yes. A transfer number can include an extension: the receptionist dials the main line, then the extension.
Can it check with me before putting a caller through?
Yes, if you turn on call screening. Before connecting, it privately rings the person the caller asked for and says who is calling and why. That person can take the call, ask for a message, or pass. If nobody answers, it takes a message. Screening is off by default, works on real phone calls, and needs a direct line or cell phone rather than a main number plus extension.
How much does call screening cost?
It is included on every plan, from $49/mo, with no add-on. The private check with you is part of the call, so it counts toward that call's minutes.
Does it transfer calls at night?
Not by default. Transfers happen during the business hours you set. Outside them, it offers to book the caller a time or takes a message for your team. You can also pick a person to take transfers after hours.
Will I know a call was transferred?
Yes. The transfer is recorded as the outcome in that call's summary, which is emailed to you and saved in your dashboard with the transcript.
Is call transfer included?
Yes. Transfers to a person are part of every plan, from $49/mo.
